As the Executive Assistant to the COO, you will be a trusted partner, essential to maximizing the leadership team’s focus, clarity, and productivity. Your core responsibilities include:
- Calendar & Communications: Own and manage the COO’s calendar, prioritizing meetings for maximum leverage and clarity; schedule meetings, send follow-ups, and coordinate all logistics.
- Project & Task Management: Track ongoing projects, identify blockers, and ensure deadlines are met; maintain operational dashboards using tools such as Notion and Airtable.
- Meeting & Documentation Support: Attend key meetings to take detailed notes and summarize action items; prepare agendas, presentation decks, and pre-read materials for leadership meetings.
- Administrative & Personal Task Execution: Coordinate complex travel arrangements across multiple time zones; manage light personal administrative tasks including gift sourcing, bill payments, and scheduling; liaise with vendors and support overall team operations.
This role requires someone agile, thoughtful, emotionally intelligent, and able to execute tasks with precision and professionalism in a fast-paced startup environment.
